  • Word - If you have the latest version, pull down the Table Menu and choose AutoFit. This little option makes building tables in Word SO easy!
  • Excel - One of the coolest functions in Excel is also undocumented: The DateDif function. It is the most accurate way to compute the amount of time between dates. Find it under your Tools Menu.
  • Access- Don't forget to do relationships BEFORE you start building forms. If you do Subforms, the relationship will automatically be recognized as long as the relationship is set first.
  • QuickBooks- Be productive off hours: If you are having trouble finding single-user time during the day, use remote access to work from home during off-hours. You can use the remote access feature to execute activities which need to be done in single user mode. ETR uses a free remote access program called Log Me In which has all the bells and whistles of the other remote programs.
  • Windows- If your program list is getting unwieldy, right click anywhere, and choose "Sort by Name". While your list won't shrink, it will at least be in alphabetical order. This trick also works in your Internet Explorer Favorites.

8 Ways to Keep Fraud Out of Your Company

Unfortunately, nearly 9 out of 10 employees will steal from their employer. Some employees may "borrow" a ream of paper, a few highlighters or a couple of Cd's, to downright embezzlement.  Here are 8 tips to help keep fraud down in your business. If you have any questions or concerns that you may have employee theft present in your company, give us a call - we can do a quick audit and look for any discrepancies.

  1.  Send Your Bank and Credit Card Statements to a Different Address
    Do not send your bank statements to your business address. Have your bank statement sent to your home. Review each check, both front and back, for payee, signature, and endorsement. Even if you don't allow your employees to use your credit card, make sure those statements are sent to an alternative address too. Examine each statement carefully. Review each and every line item of both payments and charges. In QuickBooks, the feature "Print on Check as", is a common way employees will steal from you.
  2. Never Let Employees Pretend They are You
    Don't let anyone use your password, sign your name, use your credit card, or misrepresent themselves
    to your bank or Credit Card Company. Reimburse their expense, don't reveal sensitive passwords.
    If you allow your employee to sign your name on credit card purchases, it could compromise your
    legal recourse in case of fraud or embezzlement.
  3. Make Vacations (or Time Off) Mandatory
    When a bookkeeper brags they haven't missed a day in 2 years, it could be because they are afraid
    if someone else takes over, they may find questionable accounting procedures.
  4. Reconcile Your Bank and Credit Card Statements
    Review every statement. Make sure all bank accounts and credit cards are reconciled. Afterwards, take time to review every reconciliation report. Notice stale checks or deposits that have not cleared the bank. Check for missing deposits. An increase in the number of reconciled items may also reveal mischief.
  5. Watch for Lapping
     If you notice that funds are being deposited more than 3 days late it could mean your bookkeeper
     is borrowing cash from the deposit, then having to wait until the following day to re-pay back the funds.
    The more the "borrow" the longer it takes to "re-pay" from new cash transactions. This is known as lapping. 
       
  6. Use the Voided/Deleted Transaction Report
    After you have turned on the Audit Trail in QuickBooks, make reviewing it part of your routine.
    Periodically review the "Voided/Deleted Transaction Report", to see which entries have been modified
    or deleted.
  7. Establish Accounting Controls
    The principle of countervailing power is the fundamental reason to use checks and balances in accounting.
    Split the responsibilities between staff members or outside accounting professionals. Warning Sign: If the same person writes the checks and reconciles the account, there is no separation of duties.
  8. Adhere to a Numerical Sequence
    Use a numerical sequence for all transactions. Invoices, bills, and checks which are numbered should fall in a logical and chronological order. The reason: To identify missing documents.

  • Don't promise what you can't deliver.
  • Take vacations and long weekends. Never let your vacation time expire.
  • Always send Thank You letters.
  • If you tell a racist joke at work, be prepared to be fired.
  • Read the same book the boss is reading.
  • Eliminate guilt- don't cheat on expense reports, taxes, benefits, or your colleagues. 
  • Always carry your business cards with you and give them out freely.
  • When someone tells you these are the best years of your life, believe it and act accordingly.
    Chances are they are!

At a recent software engineering management course, the participants were given an awkward question to answer. " If you had just boarded an airliner and discovered that your team of programmers had been responsible for the flight control software, how many of you would disembark immediately?"

Among the ensuing  agreement between the students, only one man sat motionless. When asked what he would do, he replied that he would be quite content to stay onboard.

With his team's software, he said, the plane was unlikely to even taxi down the runway,
let alone take off!
